UNAIR NEWS – The fifth edition of Learning with Community (BBK-5) by Universitas Airlangga (UNAIR) provided an opportunity for students to launch a program titled “Secure Your Documents with Digital Archiving.” Held on Tuesday, January 21, 2025, the initiative involved door-to-door approach to households in Jejel Village, Ngimbang Subdistrict, Lamongan Regency. The program sought to familiarize residents with digital archiving methods, particularly using Google Drive, as a secure and efficient solution for document storage. The initiative was met with enthusiastic support from the local community.

The program was divided into several stages: pre-tests, post-tests, material presentations, and one-on-one tutoring sessions. In addition to introducing Google Drive as a reliable storage option, the students provided direct assistance, guiding residents through the process on their personal mobile devices. Meyra Shafa Fissilmi Faizah, a 2022 Nanotechnology Engineering student, stated that the program aimed to bridge the technology gap for the general public.

“We want to equip residents with the fundamental skills to use Google Drive for storing important documents, ensuring they have safer and more secure backups,” she said. Farhana Fitrah Amalina, a 2022 Islamic Economics student, added, “Relying on cabinets to store documents increases the risk of damage, especially since most documents are paper-based and prone to water damage or natural disasters.”

Out of the 24 residents who participated, most had never used Google Drive for document storage, instead relying on traditional methods such as folders and cabinets. Some even used WhatsApp as a storage alternative, as noted by one participant, Srimah. Another resident, Priyanto, who kept documents in a cabinet, expressed concerns about the security of physical storage. “A lot of my documents, like diplomas, were damaged by termites,” he said.

Ayin Indianti, a 2022 Library and Information Science student, pointed out the shortcomings of using WhatsApp for document storage. “WhatsApp is not a durable or reliable solution for storing important files, as the data can be easily lost compared to the stability of Google Drive,” she explained.

The residents showed significant progress in understanding digital archiving after the program. Post-test results revealed that 3 of the 24 participants achieved perfect scores, 13 scored higher than in their pre-tests, and 8 maintained consistent scores. Overall, 14 residents demonstrated a strong understanding of the material.

This program aligns with two key Sustainable Development Goals (SDGs): Goal 4, which emphasizes quality education, and Goal 9, which focuses on industry, innovation, and infrastructure. The initiative aims to provide lasting benefits and serve as a foundation for implementing practical and sustainable document storage solutions. By adopting Google Drive, residents of Jejel Village are now better equipped to embrace digital archiving, fostering positive and lasting changes within their community.
